The customer's arrival tracker

Turn it on, what the customer types to get in, what they see, and what you control.

The arrival tracker is a page you give one customer for one job. It shows them the arrival window you wrote, their place in your queue, the progress steps, a note and updates from you, and the weather where the work is. It never shows your internal schedule, the amount, or their own contact details.

Turning it on

    On the job's card on the Pipeline, or its row in the Queue, click Customer portal.

    Read the phone message at the top of the link section, if there is one. Your customer gets in by typing their phone number, so the lead this job came from needs a full US number, for example (305) 555-0142. If the lead has no number, one that is not a full US number, or one already saved on another customer, the panel says so and Turn on portal stays off until you fix the number on the lead. If the number on the lead differs from the one saved for the customer, the panel shows the number your customer must type.

    Click Turn on portal. The link is shown once, under Copy this link now. For their security it is not shown again. Copy it.

    Note the Job number shown beside it. Your customer types it to get in.

    Send the link and the job number to your customer yourself, by text or however you reach them. Local Wrangler shows them to you; it does not send them.

The panel shows the portal as On, Off or Expired. A link is valid for 180 days. Rotate link issues a new link and keeps the same job number, so a customer who lost the link gets a new one without a new number; the old link stops working at once. Revoke turns the portal off after you confirm with Yes, revoke. Once a link has expired, the panel offers Issue a new link.

What the customer does

Your customer opens the link and sees the heading Secure job tracker, the line See when your team is arriving, and a short form: Job number and Phone number, with the line Used only to verify this job. Your details stay private. Nothing about you or the job is shown before the details match; your company name and logo appear once they do. They click View my job status. Capitals, dashes and spaces in the job number do not matter. The phone number must match the one saved for this customer; the panel warns you when the lead's field differs from it.

Wrong details get the same message every time: We could not find a matching job. Check the details and try again. After 10 wrong tries the job is locked for 15 minutes, and during the lock even the right details get that message. Rotating the link clears the lock.

Once in, the customer stays signed in on that device for up to 12 hours, or until the link expires, whichever comes first, so reopening the page shows the tracker without the form. Rotating or revoking the link ends that at once.

What the customer sees

  • Your company name and logo, as set under Settings, Organization.
  • Hi, followed by their first name and last initial.
  • The job city and the job name.
  • Estimated arrival window: the text you wrote, exactly as you wrote it.
  • Your place in line: Next in line, 1 job ahead of you, or the number of jobs ahead. It counts the active jobs ahead of this one in the Dispatch Queue, and appears only once the job has been placed in the queue by dragging or with the arrows. A job that has never been placed shows no place in line.
  • A note from your company: the message you typed for them.
  • Your progress: the steps Project accepted, Arrival window, Conditions review and Arrival confirmation, with the current one marked Current.
  • Next update by: the date you set.
  • Updates: what you posted, newest first.
  • Weather watch: the chance of rain for the next few days in the job's town, from the National Weather Service. It appears when you have filled in both the job city and the state and a forecast is available; otherwise the panel is simply absent.
  • Why arrival windows can change: a standing explanation, covering rain, equipment, a job ahead running long, and permits and inspections.
  • A closing line inviting them to call your company.

Never shown: the scheduled date and time from Dispatch, the amount, their phone or email, or the job number itself.

What you control

The Customer portal panel has a section called What the customer sees. Its fields are Job name; Arrival window, free text with the hint Write it as a range or a rough period. Do not put your exact production date here; Progress step; Message to the customer; Next update by; and Job city and State, which feed the weather watch and must both be filled or no forecast is shown. Save confirms with Customer view saved.

Set status manually, with the choices Scheduled, On track, Watching, Confirmed and At risk, marks the job for your own team. The status is saved on the job and each change is listed in History. It is not part of what the customer sees.

Post an update takes a title, for example Rain delay, and an optional message, then Post to customer. Posted updates cannot be edited or removed.

History lists what changed, newest first: the updates you posted, and internal entries such as Arrival window changed and Status changed, marked Internal, which the customer never sees.

The tracker page asks search engines not to index it, and a wrong job number or phone number gets the same answer as an unknown link. A link on its own tells nobody anything about your customer.
