The Leads list
Views, filters, search, bulk actions, export and import.
Leads is every call, form and chat you have captured, newest first. The four tiles at the top, Total Leads, New Leads, Qualified Leads and Hot Leads, count every lead that matches your current filters, not only the page you are on. Archived leads, flagged duplicates and test traffic count only while the matching switch under All filters is on.
Three ways to look at it
- Table: one row per lead with customer, contact, type, status, source, grade, value and date. Click a column heading to sort by it.
- Grid: the same leads as cards.
- Board: one column per status, the whole pipeline with no date limit. Drag a card to change its status.
What the list covers
The table and grid show leads from the last 30 days unless you choose another range. Turn on Show archived under All filters and, while the range is still that default, the list covers your full history with archived leads mixed in and marked; choose a range and it is respected. The board always shows the whole pipeline, and Show archived is unavailable there.
Finding a lead
- Search matches the name, email, phone and keyword.
- Status tabs: All, New, Qualified and Not Qualified. Any other status is reachable from the board or by search.
- Type: all types, calls, forms or chats.
- Date: the bar above the list offers the last 7, 30 or 90 days, All time, or Custom range, which asks for two dates and covers both of them in full.
- Source: All sources, or one of the sources you have leads from, each shown with how many fall inside the dates, the type and the status tab you are on, so the count you see is the list you get under any tab.
- All filters: a button on the filter row that opens a panel with three switches for leads the list hides by default, applied together when you click Apply; Clear all resets every filter on the page, the date range included.
- Show archived: Deleted leads are archived, never removed. Not counted in Total Leads.
- Show duplicates: Repeat submissions collapsed onto the lead they matched.
- Show test leads: Submissions the tracker marked as a test.
Every filter is part of the page address: a refresh keeps your view, and the address can be pasted to a teammate in your company to open the same list. Changing any filter takes you back to the first page, so you always see the newest matches.
Opening a lead
Click a row or card and the lead opens as a panel over the list. On a phone the panel is the full screen. Escape or the X takes you back to the list, and Open full page gives the lead its own page. Each row also has a menu with View lead and, on a lead that is not archived, Delete lead; an archived row shows Restore instead.
Working several leads at once
Tick the boxes on the left of the table to select leads. A bar appears with Set status, Merge when exactly two are selected, Delete, and Discard to clear the selection. Set status offers every status except Lost, because a lost lead needs a reason, which you give on the lead itself.
Follow-ups that need attention
When follow-up tasks are due today or overdue, a card above the list says how many, marks the overdue ones, and lists the first few with the lead each belongs to.
Export, import and adding a lead by hand
- Export downloads a CSV of exactly the leads the list is showing: the same search, type, status, source and date range, with archived leads and duplicates when those switches are on; test leads are never exported. Columns: name, email, phone, type, source, medium, campaign, keyword, lead page, value, status and date. One export holds at most 500 rows, so narrow the filters if you have more.
- Import takes a CSV with a header row. Recognised columns: name, email, phone, type, source, medium, campaign, keyword, lead page, value and notes. Every imported lead starts as New; a status column in the file is ignored.
- Add Lead creates one by hand. You need at least a name, an email or a phone number. A lead added by hand shows Not graded, because the grade is set from what a lead sends when it arrives.
